One platform for identity credentials

CaptrID is a credential operations platform built by an Australian team for Australian organisations. We handle the full chain: roster import, photo capture, approval, card design, and credential issuance — digital or physical, in a single browser.

The problem we set out to fix

Most organisations issue identity credentials — staff IDs, student cards, membership badges, contractor passes — using a patchwork of tools that were never designed for the job.

Photos arrive via email, file request links, or a USB the photographer drops off in week four. Rosters live in spreadsheets that drift out of sync with the HR system. Cards are designed in a desktop application installed on one computer in the IT office, with a licence that expired two years ago. Nobody knows who has a current ID and who doesn't, and replacing a lost card means waiting for the next photographer visit.

We watched Australian schools, RTOs, care providers, and security firms run this same broken workflow in slightly different shapes — and we saw that none of the existing software treated it as one connected operation. Photo-capture tools didn't know about printing. Card-design tools didn't know about wallets. Directory-sync tools didn't know about photos.

CaptrID is the platform we wished existed: roster sync, photo capture, approvals, card design, printing, smart card encoding, and digital wallet IDs in a single browser-based workflow. Nothing to install, nothing to license per seat, nothing that breaks when Windows updates.

What CaptrID replaces

Emailing staff for headshots
Self-upload links with quality checks
Shared folders of mismatched photos
Structured approval with denial feedback
Spreadsheets tracking who has a card
Persistent rosters synced from your directory
Outsourced card printing with week-long waits
In-house card design with print-ready export
Physical-only IDs that get lost
Digital IDs in Apple and Google Wallet

How it works

Import your roster from a CSV or sync it from your directory — Microsoft Entra ID today, more providers coming. Create a photo session — on-site capture with the mobile app, self-upload links sent via email, or both. Review and approve submissions in bulk from the admin portal. Design cards with the visual editor. Export print-ready output, print directly to a card printer, or issue digital IDs via Apple and Google Wallet.

Changes sync back to your roster via reviewed changesets — you see exactly what changed before anything applies. Approved photos push to your master list. The next session starts where the last one left off.

About the company

CaptrID is built by Captr ID, a privately held Australian company founded in 2025 and based in Queensland. We're a small Australian team that ships fast, listens to customers in the schools, RTOs, care, and security sectors we serve, and chose to build for the Australian market before expanding internationally.

Data is hosted in Sydney (ap-southeast-2) — not because it's a marketing line, but because Australian Privacy Principles, government school data-residency expectations, and the NDIS Code of Conduct all benefit from sovereign hosting. We don't route your people's identity information through United States or European data centres on the way to a credential.

Privacy is in the architecture, not just the policy page. Every action — every photo capture, every approval, every card issuance, every wallet pass push — is logged with user and timestamp. Data retention windows are configurable per organisation. We ship built-in tools for individual person erasure (the equivalent of GDPR Article 17), so when an employee leaves or a student transfers, you can remove their record completely without lodging a support ticket.

We're happy to talk about how CaptrID fits your organisation, where the product is heading next, and what we're working on right now.
