Why teams switch

The four most common reasons we hear — and what changes the day you move across.

Locked to one Windows machine in the IT cupboard that nobody wants to reboot.

Browser-based. Issue from any laptop, any campus, any operating system. No install, no DLL surprises.

Annual licence renewal that costs more than your printer did — every single year.

One subscription from A$49/mo. No maintenance contract, no module unlocks, no per-seat add-ons.

Card art saved on a USB stick. The person who designed it left in 2019.

Upload your existing card art as a starting template. Rebuild the data layer in the visual designer in an afternoon.

No audit trail of who issued what to whom, when, or why.

Every action logged — issue, revoke, edit, export. Immutable audit trail accessible to admins on every plan.

Questions from teams switching over

Will my existing card art import?
Yes. Upload the front and back of your current ID as a PNG, JPG, or PDF and use it as a starting template. Most teams then rebuild the data layer (name, photo, role, expiry) in the visual designer so fields auto-populate from the roster. You can keep the artwork pixel-identical or take the opportunity to refresh it.
Can I keep my current card printer?
Almost certainly. CaptrID exports print-ready files compatible with every major brand — Zebra, Magicard, Evolis, HID Fargo — plus supports direct printing on common models. If your printer is more than 10 years old, talk to us first to confirm.
What happens to existing issued badges?
Nothing — they keep working until they expire. You issue new badges from CaptrID going forward, and re-issue existing badges on the natural replacement cycle (lost, expired, role change). No big-bang migration.
How long does migration actually take?
A typical switch from CardExchange, Asure ID, Zebra CardStudio, ID Works, or CardPresso takes one afternoon for setup (roster import, template upload, printer test), plus a week or two of issuing alongside the old tool. Most teams stop opening the desktop software within two weeks.
Do staff need to relearn anything?
Reception staff and HR who issue badges learn one new workflow — typically 15-30 minutes. The end-user experience (printed card, wallet pass) looks the same or better than what they had before, so staff and students do not need to learn anything new.
What about pricing — is it cheaper than what we pay now?
For most teams, yes. CaptrID is one subscription with no annual maintenance, no per-seat add-ons, no module unlock fees. From A$49/mo for up to 500 people. Compare against your current licence + maintenance + any cloud add-ons you have stitched on.
Is my data safe being in the cloud?
Hosted in Sydney (ap-southeast-2). Encrypted at rest and in transit. Row-level security so each organisation sees only its own data. Full audit log of every access and change. Built for Australian Privacy Principles. Most teams find this is materially better than the unencrypted desktop database on a shared file server.
